Church Administrative Assistant

Title: Church Administrative Assistant

Classification: This is a regular part-time hourly support staff position.

Purpose: This position exists to provide administrative support to the Senior Pastor and church staff, ensuring efficient day-to-day operations of the church office.

Lines of Authority: This position reports to the Senior Pastor. It works in collaboration with the Program and Communications Manager and supports part-time staff and volunteers through coordination, not supervision.

Principle Duties and Responsibilities:

1.     Provide administrative support to the Senior Pastor, including scheduling assistance, preparing correspondence, and organizing documents.

2.     Support day-to-day office functions such as answering phones, greeting visitors, and maintaining office supplies.

3.     Assist with publishing written materials (e.g., bulletins, newsletters, flyers, and announcements).

4.     Coordinate with the Program and Communications Manager to assist in communicating with staff and volunteers regarding events, updates, and logistical needs.

5.     Collaborate with the Treasurer and Bookkeeper to assist with clerical support for financial tasks such as invoice tracking, receipts, and filing.

6.     Assist the Church Council Secretary in preparing materials for Council and Congregational meetings and ensure records are filed with the appropriate committees.

7.     Respond to requests from committee chairs, staff, and volunteers with timely communication and resource support.

8.     Maintain confidentiality and contribute to a professional, Christ-centered work environment.

9.     May be called upon for other related duties or special assignments.

Position Requisites:

1.     Must have a love of God and demonstrate a commitment to following the ways of Christ.

2.     Must have at least two years of administrative office experience, preferably in a church, nonprofit, or service-oriented setting.

3.     Must be proficient with Microsoft Office Suite, specifically Word, Excel, & PowerPoint. Familiarity with PowerChurch Plus, QuickBooks, Canva, or other basic design platforms and social media digital communications is helpful and encouraged.

4.     Must demonstrate strong verbal and written communication skills, with a warm, professional demeanor and positive attitude.

5.     Must be highly organized, detail-oriented, and capable of managing multiple tasks in a dynamic church environment.

6.     Must be a team player with a positive attitude, able to collaborate effectively with staff, volunteers, and congregation members.

7.     Must maintain confidentiality in all matters and act with integrity and discretion. 

8.     Familiarity with church operations, basic budgeting principles, and internal communications is highly desired.

Equipment Operation

-Occasional use of digital platforms for communication, scheduling, and publishing materials.

Choir Director

Title: Choir Director (Traditional Worship)

Classification: This is a casual program staff position without benefits (anticipated as 5-8 hours per week during the nine-month program season).  

Purpose: This position exists to engage the worship community in meaningful and Holy Spirit lead traditional worship through the choral music ministry.

Lines of Authority: This position reports to the Senior Pastor; this position leads many volunteers and collaborates with accompanists and other musicians but does not directly supervise any other employees.

Principle Duties and Responsibilities:

1.        Plans, organizes, implements, and evaluates the traditional choral music ministry to enhance the worship experience throughout the music program year (September – May).

2.        Selects music that supports the Scriptures, proclaims the gospel and is sensitive to the liturgical calendar for all traditional worship services (regular, seasonal, festival, and mid-week), coordinating with the Senior Pastor as needed.

3.        Leads and directs the Chancel Choir, Bass Clef Singers, and Treble Clef Singers. Coordinates and communicates with them and the Bell Choir Director to establish a schedule.

4.        Schedules organists, pianists, and other musicians (instrumental and vocal) as needed to provide choral music throughout the program year. Maintains a roster of available accompanists should the need arise for a back-up musician for worship services.

5.        Coordinates special music programs or events with the Senior Pastor.

6.        Administers the business affairs of the traditional choral music program; develops annual budget proposal, oversees expenditures, and recommends capital purchases (equipment and instruments); oversees the maintenance and care of all music supplies, equipment, and instruments; obtains software licenses and copyright permissions for all music resources utilized during traditional worship.

7.        Oversee the cataloging, filing, and preservation of sheet music and care of choir robes.

8.        Provides bulletin announcements and Olive Branch Newsletter articles as needed.

9.        Communicates any maintenance needs in the rehearsal or performance areas to the facility caretaker staff.

10.    May also be called upon for other related duties or special assignments.

Position Requisites:

1.        Will see this position as a ministry to and with the people of God known as Mount Olive Lutheran Church. Commitment comes from an understanding of God’s love for us and God’s desire for us to communicate in worship and music the Good News of Jesus Christ.

2.        A willingness to grow in this position, extend hospitality, lead with faith and confidence as the worship life of Mount Olive evolves.

3.        Music degree beneficial but not required.

4.        Training in traditional church music, vocal, instrumental, and conducting skills is highly desired.

5.        Previous supervisory experience is highly desired.

6.        Must be able to work well with all staff, volunteers, and musicians of all abilities to further our choral music ministry.

7.        A positive attitude, coaching and team building skills, and experience working with volunteers, are highly desired.

8.        The ability to develop and implement creative solutions is highly desired.
